We’ve made it easier to access your favorite Smart Assistant features by replacing the Smart Assistant avatar with dedicated action buttons in both the current message view and draft view.
Faster access to Smart Assistant actions
Instead of opening the Smart Assistant through a single entry point, you can now access individual Smart Assistant actions directly from the configuration panel.
This reduces clicks and makes it easier to jump straight to the action you need.
Faster access to Smart Assistant actions
Smarter and smoother experience
Smart Assistant actions are now decoupled and presented individually, helping you discover and use features more efficiently. The updated layout also prioritizes actions based on your most recent usage, so your go‑to tools are always within easy reach.
Smarter and smoother experience
This update is all about making Smart Assistant features easier to discover and use. Explore the new action buttons and let us know how we can make the experience even better at support@mailbutler.io.
We’ve streamlined the way tags work across Mailbutler to make organizing your work more intuitive and consistent.
Automatic tag syncing
Tags added to an email are now automatically applied to all notes and tasks attached to that email. Likewise, when a tag is removed from an email, it will also be removed from any associated notes and tasks.
This ensures that related items stay aligned and properly categorized without requiring manual updates.
Automatic tag syncing
More consistent organization
By keeping tags in sync across emails, notes, and tasks, you’ll spend less time managing metadata and more time focusing on your work. Everything connected to an email now stays organized together.
Flexible control for notes and tasks
Need to make an exception? No problem. Removing a tag from a note or task will only affect that specific item. The same tag will remain on the parent email and any other attached items.
This gives you the flexibility to customize individual notes and tasks while maintaining a consistent tagging structure where it matters most.
We hope this improvement makes organizing your emails, notes, and tasks even more seamless. As always, we’d love to hear your feedback. Share your thoughts here or reach out to us at support@mailbutler.io.

Introducing Automations

You can now build powerful workflows to streamline your email processes. Set up rules that automatically take action on your emails, so you can save time and stay organized without manual effort.
Get started your way
Choose how you want to build your automations:
  • Add automation presets
    – Select from common, ready‑to‑use workflows
  • Create automations manually
    – Start from scratch and customize every detail
Start with ready automations
Flexible rule-based workflows
Create automation rules using a combination of:
  • Triggers
    (when something happens)
  • Optional conditions
    (refine when rules apply)
  • Actions
    (what should happen next)
Configure automations to work even more efficiently
Trigger actions from key email events
Automations can run based on events like:
  • Email draft created
  • Email draft updated
  • Email delivered
  • Email opened
  • Email link clicked
  • Email assigned
  • Task/note added
  • Task/note deleted
  • And more
Automate repetitive tasks
Once triggered, your Mailbutler automations can take care of actions such as:
  • Adding To, Cc, or Bcc recipients
  • Inserting signatures
  • Adding or removing tags
  • Adding tasks or notes
  • And more
This helps you reduce repetitive work, stay consistent, and focus on the conversations that matter most.
We’re excited for you to start building your own workflows with the brand-new Automations feature. If you have any feedback or ideas, feel free to share them here or reach out anytime at support@mailbutler.io.
We’ve added more flexibility to how the Smart Assistant composes emails. You can now choose to omit email closings when generating drafts with the AI-powered assistant.
Avoid duplicate sign-offs
If your email signature already includes a closing (like “Best regards” or “Thanks”), you can simply turn off the “Include email closing” toggle. This prevents the Smart Assistant from adding a closing to the email body, keeping your messages clean and free of repetition.
Include email closing toggle
Tailor drafts to your preferences
Whether you prefer a full email or want to rely on your signature for the final touch, this setting lets you adjust Smart Assistant drafts to match your workflow.
As always, if you have any feedback or questions, feel free to reach out at support@mailbutler.io.

Getting started with Mailbutler just became faster and more intuitive. Our new Smart Assistant onboarding wizard helps you set up key features with ease — guided by AI and tailored to your needs from the very beginning.
Guided setup for tags and templates
The wizard walks you through creating tags and email templates using the AI‑powered Smart Assistant. You can choose how you want to get started:
  • Take a guided tour by answering a few quick questions, or
  • Describe your use case in your own words
Based on your input, the Smart Assistant suggests relevant tags and drafts email templates that match your workflow — saving you time and helping you get value from Mailbutler right away.
Smart signature setup with automatic contact details
When creating an email signature, you can ask the Smart Assistant wizard to detect and fetch publicly available contact information using just your company email address. The wizard then automatically adds these details to your signature template, saving you time and reducing manual entry.
The new onboarding wizard is designed to help you hit the ground running — with smarter defaults, less setup effort, and guidance whenever you need it.

Staying on top of important conversations just got a whole lot easier!
Mailbutler automatically analyzes your tracked emails — focusing on opens, clicks, and engagement patterns — to help you identify messages that may need to be followed up on.
Follow-up suggestions directly in your sidebar
Mailbutler derives follow‑up states for your tracked emails and categorizes them as high, medium, or low urgency so you know exactly what to prioritize next.
You can access all of your follow‑up suggestions directly in the Email Tracking widget in the Home tab of the sidebar.
Everything is neatly organized in one place, ready when you are.

Full control over your follow-ups
You’re always in charge.
  • Manually dismiss any follow‑up suggestion
  • Manually mark tracked emails as needing a follow‑up
This lets you fine‑tune what deserves your attention.
Seamless migration of your legacy follow-up tasks
If you used the legacy follow‑up task system, all your existing follow‑up tasks are automatically migrated to the new Smart Follow-ups feature.
We hope Smart Follow‑ups brings clarity and ease to your communication. If you have feedback or need help along the way, feel free to reach out at support@mailbutler.io.

New Composing Live Status Indicator

We’ve expanded our set of live status indicators to give you clearer real‑time visibility into how your collaborators interact with shared contacts. The new composing status appears whenever you view a message from a contact that a collaborator is currently drafting an email to.
Real‑time visibility into active drafting
When a collaborator starts composing an email to a contact you are currently viewing a message from, you’ll see a helpful notice in your sidebar:
New composing live status indicator
This gives you immediate insight into who is actively handling the communication.
Smoother coordination, fewer conflicts
This new indicator builds on our existing collaboration signals and helps you:
  • Prevent overlapping or conflicting replies
  • Coordinate outreach more efficiently
  • Maintain a consistent communication experience with shared contacts
It’s a small but meaningful improvement that helps you and your collaborators stay aligned when messaging the same person.
